How clients book appointments

Your Scheduling clients can schedule, reschedule, and cancel appointments on their own. This guide explains how clients book and manage their own appointments. Testing the process on your own is also a great way to get to know how your online booking experience works.

Tip: You and your staff can also book appointments for clients from your Appointment Calendar.

Book an appointment

Clients book appointments through the Appointment Scheduling Block or from your scheduling page.

To book appointments, clients: 

  1. Choose an appointment type.
  2. Choose a calendar to book on, or choose Any Available. If you only have one calendar, or if you customized your scheduling page to only display one calendar, clients will skip this step.
  3. Choose a date and time from a list of available appointment slots.
  4. Enter their name, email address, and phone number and answer questions you added with intake forms.
  5. Enter their payment information and a coupon or package code, if they have one.
    If you don’t charge for appointments, clients will skip this step. If payment is optional, clients will choose whether to pay.
  6. Click the confirmation button to schedule their appointment, and pay if required.
  7. They'll be directed to a confirmation page with their appointment details. They'll also receive a confirmation email with the appointment details and a calendar invite.

Reschedule an appointment

To reschedule appointments, clients:

  1. Click Change/Cancel Appointment in the initial confirmation email they receive after booking. This brings them back to their confirmation page.
  2. Click Reschedule.
  3. Choose a new date and time. They’ll see only the times you’re available.
  4. Click Reschedule.
  5. They'll be directed to a confirmation page and receive an email with the details of their updated appointment.

Keep in mind: 

  • Clients can only choose a new date and time. For other changes they request, you'll need to edit the appointment internally from the Scheduling panel.
  • Your scheduling limits control how close to an appointment clients can reschedule. For example, you can prevent clients from rescheduling their appointments within two hours of the original time.

Cancel an appointment

To cancel appointments, clients:

  1. Click Change/Cancel Appointment in the initial confirmation email they receive after booking. This brings them back to their confirmation page.
  2. Click Cancel.
  3. Click Yes, cancel appointment.
  4. They'll be directed to the Client Scheduling Page with a message confirming the cancellation and receive a cancellation email to confirm.

Keep in mind: 

  • Your scheduling limits control how close to an appointment clients can cancel. For example, you can prevent clients from cancelling their appointments within 24 hours.
